Please read carefully before booking your journey

These Terms & Conditions govern all bookings, services, and interactions with Beyond Serengeti Travel Co., a registered travel company based in Kilimanjaro, Tanzania. By confirming a booking, you agree to the terms outlined below.

The Booking

Bookings and subsequent contracts are deemed to be concluded in Arusha, Tanzania, and interpreted under the laws of the United Republic of Tanzania.

  • Place of jurisdiction: Arusha, Tanzania
  • The Company reserves the right to decline any booking without providing reasons

Booking & Payment

  • A deposit of 30% is required to confirm your reservation.
  • Full payment must be received: At least 4 weeks (30 days) prior to departure for all tours.
  • If full payment is not received according to the above, the Company reserves the right to treat the booking as cancelled, in which case the deposit will be forfeited.
  • Clients booking within 30 days of departure are required to pay the full amount immediately to secure the reservation.
  • Payments can be made via bank transfer, online transfer, or mobile money (details provided upon request).
  • Late payments may result in cancellation or rescheduling.
  • All bank charges, including transaction fees charged by our bank, are the responsibility of the client. The amount reflected on our invoice is the amount that must appear in our account for the booking to be considered fully paid.

Cancellation & Refund Policy

  • The deposit is non-refundable
  • Cancellations made 60+ days before departure: full refund minus transaction fees
  • Cancellations made 30–59 days before departure: 50% refund
  • Cancellations made less than 30 days before departure: no refund
  • No-shows or early departures are non-refundable
  • All cancellations must be submitted in writing.

The Company may cancel a tour at its discretion. In such cases, all payments will be refunded. No further claims or damages will be accepted.

 

Guest Responsibilities

  • Guests must ensure they are physically fit for trekking or safari activities
  • It is the guest’s responsibility to obtain valid travel documents, including visas and passports
  • Guests must comply with local laws, park regulations, and guide instructions
  • Travel insurance is strongly recommended

Booking Amendments

  • Amendments (e.g., dates, tickets, accommodations, group size) incur a $50 USD handling fee
  • Additional service provider fees may apply

Passports, Visas & Travel Documents

Clients are responsible for ensuring all required documents are in order, including:

  • Valid passports
  • Visas
  • Health certificates and vaccinations
  • Travel Insurance

The Company is not liable for issues arising from incomplete or incorrect documentation.

Baggage

  • All baggage and personal effects are the client’s responsibility
  • Allowed:
    • One soft bag (max 15 kg)
    • One daypack
  • Hard-shell suitcases are not permitted
  • Trekking tours and bush flights may have stricter baggage limits

Risk & Liability

All tours involve personal risk.

  • The Company and its agents are not liable for injury, loss, or damage
  • Clients indemnify the Company against any claims
  • Participation is at the client’s own risk

Authority on Tour

  • The guide/driver’s decisions are final and binding
  • Clients must comply with local laws, customs, and currency regulations

Marketing Consent

  • The Company may use photographs and videos taken during tours for marketing
  • By joining a tour, clients consent to this use and grant copyright rights

Force Majeure

Unforeseen events may affect the tour, including:

  • War, riots, weather, mechanical issues, or other uncontrollable factors

The Company is not liable for delays or changes resulting from such events

Price Changes

  • Prices are based on current park fees and taxes
  • If government authorities increase fees, the Company reserves the right to adjust prices accordingly
