Below are our standard terms and conditions. Currently, For all new bookings made until the end of 2025, our flexible terms and conditions will apply, with a more relaxed cancellation policy so you can book with confidence, without putting your money at risk.
Please take the time to read and understand the conditions of booking set out below prior to booking a trip with us. We strongly recommend that you also read the Essential Trip Information relating to your trip prior to booking to ensure that you understand the itinerary, style and demands of the trip you are undertaking.
All prices are in US dollars (US$) per person. Prices are based on costs at the time of publication. We reserve the right to change published prices at any time prior to booking confirmation. If the price increases by more than 5% due to changes in entry fees, accommodation, fuel, or other external factors, we reserve the right to adjust the rates accordingly.
Included in prices:
Park entrance fees (unless specified otherwise), service charges, ground transportation, camping/lodge/hut costs, full board (three meals daily), government taxes, English-speaking drivers/guides/porters (other languages available upon request), camping equipment, 4×4 vehicle, and all expenses related to drivers and vehicles during the tour (transfers, game drives, etc.).
Excluded from prices:
Items of personal nature such as airport taxes, landing fees (for charters), phone calls, visas, toiletries, tips to drivers and porters, souvenirs, soft drinks, bottled water, alcoholic beverages, laundry, cigarettes, accommodation and meals before or after the tour, travel and personal insurance, and any additional services not explicitly mentioned in the itinerary.
Upon booking, you will receive an invoice from Bantu Pori Journeys.
A 10% non-refundable deposit is required for all tours, including camping safaris, trekking tours, Kilimanjaro climbs, lodge safaris, and hotel reservations.
If only accommodation is booked, the full amount is due upon confirmation.
Deposits must be paid within 14 days of receiving the invoice. Please note that any additional money transfer costs must be borne by the client.
The remaining balance is due at least 2 weeks before the tour starts (3 weeks for lodges/hotels). If the balance is not paid on time, your booking may be canceled.
Bookings should be made as early as possible to ensure availability. Bookings can be made via email, telephone, or the booking form on our website.
Telephone reservations are held for 5 working days without obligation.
After this period, the reservation must be confirmed with a completed booking form and deposit.
The booking is confirmed once we receive the non-refundable deposit in our bank account.
The client must be over 18 years of age. If booking on behalf of a group, the client confirms they have the authority to sign on behalf of all persons mentioned in the booking form.
For bookings made less than 2 weeks before arrival, the remaining balance must be paid in cash upon arrival. Full payment is required for lodging reservations.
In cases of late bookings, accommodation options may be limited. If alternative accommodations are necessary, the client is responsible for paying any price differences.
If you need to cancel, please notify us in writing. The cancellation date is when we receive the written notice. Refunds will be issued minus cancellation fees and any non-refundable costs paid to hotels, airlines, or local operators.
Cancellation fees:
41-60 days: 30% of the total invoice
31-40 days: 40%
21-30 days: 50%
11-20 days: 60%
02-10 days: 70%
Within 48 hours or after tour commences: 100% (no refund).
We reserve the right to cancel any arrangements. If this occurs, we will provide an alternative tour or a full refund for the canceled services.
If the tour is interrupted due to unforeseen circumstances (e.g., weather, force majeure), we cannot provide refunds for unused services or any additional costs incurred.
For services canceled by us or subcontractors, you will receive a full refund for those services, minus non-refundable portions like airline tickets.
We reserve the right to alter or cancel any arrangements due to factors beyond our control (e.g., weather, road conditions, security). We will make every effort to minimize disruptions but cannot be held responsible for unforeseen changes.
Bantu Pori Journeys and its agents act only as intermediaries for the services provided (e.g., tours, accommodation, transportation). We are not liable for any injuries, delays, or damages caused by factors beyond our control, such as weather, civil unrest, or wildlife incidents.
The company is not responsible for the loss or damage of personal property.
In case of a breakdown, we will provide a rescue vehicle, and any lost time will be compensated by either a refund or an additional day on the tour.
Claims are subject to the laws of the country where the incident occurred.
If you have any complaints during your tour, please notify the guide, supplier, or local representative immediately. We encourage clients to address issues during the tour, as this allows us to resolve problems promptly. Any complaints made after the tour ends will only be considered if submitted within 28 days of the tour’s completion.
We reserve the right to take photos and videos of the tour and its participants for promotional purposes. By booking, you grant us permission to use these materials. If you disagree, please notify us in writing at the time of booking.
We are not responsible for any errors in printed materials (brochures, catalogs, etc.).
